Deposit Services Manager

Role:  

Provide direct leadership and supervision to the Deposit Services team, including the IRA Specialist, RDC Specialist, and Deposit Specialist. Oversee all deposit-related operations encompassing Individual Retirement Account (IRA) processing and compliance, Remote Deposit Capture (RDC) review and exception handling, deceased member account administration, and related back-office functions. Ensure 100% regulatory compliance with IRS, NCUA, Regulation CC, Uniform Commercial Code (UCC), and other applicable rules while maintaining operational efficiency, minimizing risk, supporting member and branch needs, and delivering exceptional service.  

Essential Functions & Responsibilities:  

Supervise, coach, and develop the IRA Specialist, RDC Specialist, and Deposit Specialist. Responsibilities include hiring, training, scheduling, performance reviews, and quality assurance reviews of IRA processing, RDC decisioning, deposit handling, and documentation.  

Oversee daily Deposit Services operations: ensure timely and accurate processing of the Ascensus IRA queue, RDC/mobile/ATM deposit review and exception handling, mail deposits, loan payments, deceased member accounts, and related tasks. Serve as the final escalation point for complex issues.  

Manage specialized functions including IRA Required Minimum Distributions (RMDs), IRS reporting (1099-R and 5498), contribution limit monitoring, RDC exception processing, Reg CC holds/returns, and compliance with probate/escheat requirements.  

Monitor team and departmental performance metrics, including processing accuracy, regulatory compliance rates, RMD timeliness, RDC exception resolution, fraud identification, and member/branch support response times; implement corrective actions where required.  

Act as primary liaison with IT Security, Deposit Operations, Card Services, Compliance, and external partners (Visa, Pulse, Verafin, law enforcement) on non-card fraud-related matters, data compromises, and mass reissuance events.  

Perform other duties as assigned and remain current on evolving fraud typologies and regulatory changes.  

Performance Measurements:  

  1. The Deposit Services team achieves 100% compliance with all regulatory requirements and timelines (IRS, NCUA, Regulation CC, UCC, etc.) with zero monetary penalties or examination findings.
  2. IRA processing, RMD distributions, IRS reporting, and RDC exception handling meet or exceed accuracy, timeliness, and quality standards.
  3. Fraudulent or suspicious deposit items are identified and escalated promptly, with all midnight deadlines consistently met.
  4. Proactive process improvements and staff development result in measurable gains in operational efficiency and member/branch satisfaction.
  5. Accept individual accountability and responsibility for success of FSCU which includes meeting assigned goals/ projects.   
Knowledge and Skills:

Experience: Three years to five years of similar or related experience.

Education: (1) A bachelor's degree, or (2) achievement of formal certifications recognized in the industry as equivalent to a bachelor's degree (e.g., information technology certifications in lieu of a degree).

Interpersonal Skills: Strong leadership and coaching skills; frequent contact with staff, senior management, members (in distress), law enforcement, and regulators. Must excel at motivating teams during high-pressure events while maintaining professionalism and empathy.

Other Skills: Expert knowledge of IRA regulations (Traditional, Roth, SEP, Coverdell), IRS reporting requirements, Regulation CC, UCC, NCUA guidelines, and deposit operations best practices. Advanced proficiency with Ascensus IRA systems, core processing platforms, RDC tools, and Microsoft Office. Proven ability to analyze operational data, manage multiple specialized functions, prepare executive-level reports, and implement process improvements. Strong project management, decision-making, prioritization, and communication skills in a fast-paced environment.

Physical Requirements: Standard office environment; occasional extended hours during major fraud events or compromises.

Work Environment: Professional office setting with the need for calm, decisive leadership during crisis situations.
